I think it might be a good idea to start prepping for (early stage prepping, or real prepping) this already. It is our ATM IMO our big ticket event. If any event is going to pull out all the stop that we are able, this is it.
Any thoughts?
I think it might be fun to do a one day province wide "tour" a few weeks before hand to promote it. Invade south calgary for an hour of fighting, get in a van an invade north Calgary for an hour, then drive to Airdrie for an hour of fighting, then drive to Red dear and invade for an hour then drive to Edmonton for a short innovation then drive home. Or something like that. I think it would be a good time, hard to organize, but a good time.
Indoor in the gym again? Out Door?

Indoor was really hot, outdoor would usually have a breeze or at least shade. I think a Calgary and Airdrie tour is a great idea, I'm not sure how far someone would be willing to drive if they had only heard of Belegarth a few weeks before the event(Edmonton). A big event is a great idea though! I would like to put in a request for Cochrane to be apart of the tour/a tour if I am here when you have it. I think there is potential for a triad of sorts. Cochrane, Calgary and Airdrie form a nice triangle making it fairly easy for any of the two groups to meet at one of the cities in the triad. (ignore the directions and info on the side I just wanted to make a triangle) maps.google.com/maps?f=d&source=s_d&saddr=cochrane&daddr=calgary+to:airdrie+to:51.269648,-114.241333+to:cochrane&hl=en&geocode=FSUgDQMdpGAt-SkHJFd1gkBxUzGADlFDkKMABQ%3BFS0KCwMdmosz-SnVP4SfA3BxUzE6tlK2sTttJg%3BFf2pDgMd_Eo0-SkDHp68aF9xUzH1Yi5pk-EfCQ%3B%3BFSUgDQMdpGAt-SkHJFd1gkBxUzGADlFDkKMABQ&mra=dpe&mrcr=2&mrsp=3&sz=10&via=3&sll=51.17819,-114.233025&sspn=0.40893,1.234589&ie=UTF8&z=10 It's just one of my random thoughts. As soon as I can find a friend who is interested enough and willing to start a group with me I will try and start up Belegarth Cochrane. It takes that core group to start and then I can invite tons of the acquaintance types and friends of friends. Or maybe if you guys would be willing to come out to Cochrane then I could start my group from anyone who tries it and wants to come back again. I'm just tossing out ideas here because it's fun(for me). Early prep for an event is good. Oh and regarding Red Deer. I was thinking that maybe you could entice the Red Deer group by letting them use a sewing machine or making them weapon covers if they came down to the event, to help them get their group started. Do you know when the event is going to be yet? Because I'm gone around June 26th for three months.

Last year is was May 2nd. Doesn't have to be the same, but around then would probably be good. Hard to know this far in advance.
Red Deer and Edmonton are both floundering I think so a visit would be good for them. The hope would be that when they see we care about them enough to invest in a tip to fight with them, they might be more willing to invest in a trip to visit us. But they are very far away.
We would totally do Cochrane as well. Slipped my mind! It is a nice triangle isn't it?

I say yeah, go all out Cib. It will be awesome. You should invite Stygia www.geddon.org/index.php/Stygia in Montana. Are you thinking multi day event? It might enable more people to be able to attend at least one of the days. If you want help with any of the planning I'd love to help, just let me know what I can help with. I'll start by bugging all my friends to come try Bel in my backyard with me. I'll have a total of two shields and two swords as soon as the next chinook comes. Something you could try is doing a park tour where you do practices in every possible park and hand out cards promoting the event.

Are we ready for a multi day event yet (2 days)? Provincial parks are probably the best option if we wanted to try one.
Last event we got 9 people, if we played out cards right I think we could get 12ish with our current attendance of all realms. I would love to see 20-30 but that may be a pipe dream. I think we need to make a coordinated promo push in the spring before the event. Our realms would need to grow a little.

My thoughts for location: a foresty place like Big Hill Springs etc. would be really great but if you had part of it in a more public area you might have recruitment opportunities. I'm not sure if you should worry about that during an event though. A forest would be way cooler than in a hot field though, which would be excellent.
As for attendance I would hope I could bring at the very least one friend and at best 4+. I have 9 people so far on my list that I think might be interested if I showed them my weapons and we tried it in my backyard. Two of those have come to a practice with me already and have experienced Belegarth(One said he would do it again if I was there, the other one would have come to the mini event but there was a concert at the same time. So I think both had positive experiences). Once I have two sword and board combos it will be easy to have friends over and then show them my equipment and see if they like it. I have tried the mass message method, I think if I personally ask people and show them what it's about then I will get more response. I wish so much I could guarantee a number of friends I could bring. If I managed to get a little back yard sparring going then maybe I could secure some numbers. It would help boost your enthusiasm for the possibility of a big turn out if I could say I was bringing 4 people.
Along that line I have some ideas. Would you be comfortable letting me borrow your weapons(or just some of them) or would it be possible for someone to come out to Cochrane with the weapons if I was able to organize a backyard practice? If I had a bunch of people over for my birthday then I know I could make Belegarth one of the activities. At that point I could then recruit for a backyard practice and the event. That would be around May 8th or 15th though.
My Belegarth one year anniversary will be on April 6th. That was the first practice I attended. It's hard to believe it's already been a year.

I think with this event recruiting will happen before the event, I would like to build this event in to THE EVENT if posable. I think having a good experience and location are more important for this one than exposure. If we want to camp it would raise the price, it might scare some people away, but at the same time it might attract some people as well. We also might have to get liability insurance for the 2 days (would have to check on that though). Provincial parks map, click the "camping" check box on the left: www.albertaparks.ca/searchparks.aspxAlberta Camp Grounds in General: maps.google.com/maps?client=safari&q=camping&oe=UTF-8&ie=UTF8&hl=en&sll=51.18623,-114.016113&sspn=0.707539,1.94458&rq=1&ev=p&radius=42.15&hq=camping&hnear=&ll=51.087998,-113.947449&spn=0.709046,1.94458&t=h&z=9 Yes, you can borrow some of my weapons whenever you like.

I wasn't thinking overnight but two days is way more work so it's probably better not to at this point. The lower the cost the better for attendance I would think so if you don't have to rent a building that would make it very cheap wouldn't it? I agree that you shouldn't worry about exposure and just pick the best location for fighting.

By two days I meant over night. eg. Friday @ 3:00 - Saterday @ 12:00.
Ya, the building cost $200 last year, camping costs about $20 a night. More people spreads out any cost for sure. If there is no food and no facility (camp ground or gym) than I think there would necessarily be any cost at all?

Well free would be fantastic. The only other option I can think of is like having pizza or something but I guess some people get cramps if they eat then fight. But if there was a sufficient break then it might not be bad. I don't usually have this probably unless I eat a large amount. Maybe I should bring apples for everyone. Bring a snack if you can, type thing.
I figure the best thing I can do for the event is to get Belegarth Cochrane going so that's what I'm doing. I'm trying weekly to see if anyone can come out with me but most people work during the day on Friday so that makes it difficult. In a month I'm going to try a backyard practice and then I'll see who's interested and what times they are available.

Something I have been seeing in realms that work is that community is important. It may help if you point out o you friends that even if it is not "their thing" is that it is a good weekly excuse to get togather and hang out. One realm leader from a realm in the US said that one thing that has really helped to maintain people and grow their ream is going out for fries after each practice.
I think hang out time is important at the event to, food seems like a good way to do that. Whether at DQ like last time, or chips and pop at a picnic table.

If you need weapons David I can come to your backyard event and bring my 6. When will it be?

Once my other sword is done my plan is to show/try it with my friends when they're at my house. I figure showing it and actually doing it with people will be more effective than just a video(get the adrenaline rushing). Then I'll gather a list of who's interested and form a backyard practice. This will take about a month. It will have to be a Saturday or Sunday as most people work Mon-Fri. It would work great if you could come out. I will let you know when I have some possible dates.

One idea I have had for that I have often thought would be cool and work well (but always put it it in the "future dream" category), is that individual realms would take turns "hosting" the big regional events. For example, last year we could say it was Calgary, and Chorine could host it at Big Hill Springs.
It could be used as leverage to gain media attention, eg. "Airdrie hosts 2010 regional BMCS event".
