Ok, I called my church to see what gym rentals are like.
They are booked all week nights except fridays (and youth group uses the gym some fridays, as well as inn from the cooled one a month), but that is ok, because we are thinking one time event, and week nights are not the best for that.
Saturdays up to March are booked 9-5, not so good. (after march they are open to sept)
Sundays are pretty much booked.
So the best available time is: a Saturday evening for 3 or 4 hours. Say 5-9 and then once packed up head to dairy queen across the street. Not bad.
Cost is $50 an hour. For a one time event, she said their shouldn't have to be any damage deposit or insurance required!
For for the Sturdy 5-9 event, the cost would be $200. If we could wrangle 40 it would only be $10 a person. So $15 might be fair, and if you bring a new friend, it is only $10 a person.
Thoughts? Anyone interested?

that would be great, we should invite the dagohir (i think thats splled wrong ) from Edmonton, i only see one problem.. will we have enough weapons?

Well, lets see, assuming everything is in working order we have:
Between You Ned, Mog and myself we have about: 30 of peaces of equipment, about 23 weapons. (3 spears, 5 Javs, 1 spike/dagger, 2 flais, 2 hand ax's, 1 PVC bow and arrow, 2 rox, 2 red swords, 12 blue swords, 4 shields)
That includes all our personal gear. I also have a few more weapons in the works just waiting to be glued
So so could currently comfortably outfit 18 people (5 with red swords or spears, 9 sword and board/sword and jav, 3 Florentine, 1 with a dger, blue sword and 2 rox).
So yes, we would need more gear. We would also need some more loaner garb.
I wonder what is easiest and cheapest to mass produce with some quality...

garb.... this is something we really need to work on. If we are hosting an event we should all be in good looking garb ourselves, and have ok looking loaner garb.
I'm SLOWLY working on getting up to garb minimums by covering my street clothes in armor, but I'm no where near good enough to host an event. Even with my gauntlets and chest piece I don't think I'll be good enough.
Cib and Ned are the only ones in our group I'd call up to hosting level spec. But maybe some of the others have garb they don't wear to practice?

Ya, Travis does, several tunics actually, and Draggoas has passing set of garb, simple but looks better than some I have seen.
It is hard to enforce garb when it is cooled. But, ya, it is something that needs to be worked on, not just with us, but it is a recognized problem internationally as well. I am fully willing to help out anyone with garb if they want it.

I was talking to Travis and realizing that I had my math wrong! 20 people at $10 will cover the cost of rental, 15 at $15 each will cover rental. So it might not be quite so impossible to get the numbers necessary to make it happen!

Ok Guys please give your feedback on some potential dates, I really want to get this rolling. I believe an event will be highly important to the growth of Belegarth in Alberta.
Suggested dates: May 2, 9, 16 or 23rd All Saturdays.
What works best for you, and most importantly, what does not work at all? I am pretty much booked all weekends prior and after said dates.
Also thoughts on said event name: -Strathclyde Epic -Strathclyde Epic Event -Strathclyde Classic

Made some more calls:
Called my brothers collage in calgary to ask about gym rentals, they have a small gym with hard wood floors. They rent for $55 an hour, require liability insurance, but are not sure how much. Probably $1mill
Double checked with my church, and after Mar21 Saturdays are open. So we could do the event during the day!

Ok so here are the questions I would like people to answer if they could: 1. If the event is held on May 2nd, will you be there? 2. So here is a harder question. I can shell out $200 for a gymnasium for about 4 hours (resulting ins 3-3.5 hours of fighting) or we could risk an outdoor event (it could be ugly weather) and play longer (6+ hours of fighting). What are your thoughts? What is early May usually like? I know that last year late may was rainy (which I guess is not that bad). Thanks!

1.) yes 2.) Our normal practice is 2 hours, how tired are you after that? I'm not sure I'd be able to do 6 hours.... although I should work on that... I'd start with the indoor event and see how it goes. We might want to do a 6 hour outdoor event in August or something if this one works well.
